Delta Phi Alpha First Fall Mailing

September 2007

Dear Faculty Advisor:

Welcome back! I hope you had a relaxing summer break, and I hope this year will be a good one for you, your chapter, and for students of German.

1.      The Delta Phi Alpha Scholarship Information Sheet and Application forms are now available at the DPA web site (www.deltaphialpha.org).  Please make sure that applicants read the information page carefully. This office will, in winter or early spring, notify the faculty advisors who recommended candidates of the outcome of the competition. All student applicants will also be notified. In order to allow applications for the DAAD award for the Senior Category to reach the DAAD office in New York on time, the deadline for receipt of completed applications is November 7, 2007. Please advise students that letters of recommendation should be requested as soon as possible in order to receive them in time. The best way to assure that the recommendations reach the scholarship committee on time is to have those writing recommendations give them to the applicants in a sealed letter signed across the seal. The applicant can then be sure that all required documents are sent at the same time.

2.      The Annual Meeting of Delta Phi Alpha will be held this year during the ACTFL convention in San Antonio. The date of the meeting, open to all DPA faculty advisors, is Saturday, Nov. 17th from 3:15-4:30 at the Convention Center in Room 211. The Executive Council will meet at the end of this session.

3.      The Delta Phi Alpha Bulletin was reprinted last year for 2006-2007. It will be reprinted for 2008-2009 this winter. New Faculty Advisors are requested to send their correct title, academic address, including e-mail address, to this office. This can be done via e-mail (reynoldsjf@longwood.edu). Current faculty advisors are asked to check the entry for their chapter and notify this office if any changes or corrections are necessary.

4.      A Chapter Report Form is available on the DPA web site. Chapters are encouraged to complete this form and send it to the national office. Any chapters wishing to have photos of initiations or chapter events posted on the web site, should contact the DPA Webmaster, Dr. Geoffrey Orth, at orthgc@longwood.edu.

5.      The IRS has contacted this office with notification that, beginning in 2008, all subordinate chapters of Delta Phi Alpha may be required to submit an e-Postcard with the IRS as part of the Pension Protection Act. Chapters will also have to submit the IRS group return request form located on the DPA web site. The IRS has requested that we link the Society to the IRS site so that individual chapters can receive updated information. The link is: http://www.irs.gov/charities/article/O,,id=16925,00.html

6.      Certificates: A list of student names, just as these names are to appear on the certificates, should be sent to this office. Printing and mailing of certificates takes about 3-4 weeks after receipt of the $20/student one-time initiation fee. Please send to the National Secretary-Treasurer only ONE CHECK for the full amount, made out to Delta Phi Alpha. Checks from individual initiates will be returned.

7.      Honor Cords: The National Office can supply honor cords in small quantities for a fee of $10/cord including postage. Cords can be ordered in lots of 12 or more directly from Schoen Trimming & Cord Co., Ind., 151 West 25th St., New York, NY 10001 (e-mail: Schoentrims@aol.com).

8.      I hope that many of you can attend the Delta Phi Alpha session at the Gonzales Convention Center on Saturday, November 17 from 3:15-4: 30 during the ACTFL conference. I you have items you would like placed on the agenda, please contact me or President John M. Jeep (jeepjm@muohio.edu). If I can be of assistance to you, please write or send me an e-mail (reynoldsjf@longwood.edu). If you have items of interest to the Society and would like to have them posted on the DPA web site, please contact Dr. Geoffrey Orth (orthgc@longwood.edu).

Sincerely,

John F. Reynolds, Delta Phi Alpha

National Secretary-Treasurer
